SmartVan - Privacy Policy
1. Introduction
Smart Van (“we,” “our,” or “us”) is committed to protecting the privacy and security of all users of our school van tracking application. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the Smart Van mobile application and related services (collectively, the “Service”).
This policy applies to parents/guardians, school administrators, and van drivers who use Smart Van. By using our Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service immediately.
2. Information We Collect
2.1 Information you provide directly
- Full name, email address, and contact number during account registration
- School name, grade, and student details provided by parents or administrators
- Driver credentials including name, license information, and vehicle details
- Profile photographs (optional) for account identification
- Communication preferences and notification settings
2.2 Location and tracking data
- Real-time GPS coordinates of registered school vans during active routes
- Route history including pickup and drop-off timestamps
- Geofence entry and exit events (e.g., school gates, designated stops)
- Speed and movement data for driver safety monitoring
Location data is collected only during active school van routes. We do not track van locations outside of scheduled operational hours unless explicitly enabled by the school administrator.
2.3 Device and usage data
- Device type, operating system version, and unique device identifier
- App version, crash reports, and diagnostic logs
- Login timestamps and session duration
- Push notification interaction data
3. How We Use Your Information
- Providing real-time van tracking and estimated arrival time (ETA) notifications to parents and guardians
- Enabling school administrators to monitor routes, manage drivers, and ensure student safety
- Sending alerts for route deviations, delays, or emergencies
- Verifying driver identity and authorising access to assigned routes
- Improving app performance, diagnosing technical issues, and enhancing user experience
- Communicating service updates, policy changes, and important safety notifications
- Complying with applicable laws and regulatory requirements
We do not use your personal information for advertising, marketing to third parties, or any purpose unrelated to the Safe transportation of students.
4. Children’s Privacy
- We do not directly collect personal information from children under the age of 13
- Student information (name, grade, assigned van) is entered and managed solely by authorised school administrators or parents/guardians
- Student data is used exclusively for the purpose of route management and safety notifications
- Student records are never shared with third parties for commercial purposes
- Parents and guardians have the right to review, update, or request deletion of their child’s information at any time by contacting us at privacy@smartvan.pk.
5. Location Data and Background Access
- Driver devices require background location access to transmit van position during active routes
- Parent and administrator devices use foreground location only for map display purposes
- Location data is transmitted over encrypted connections (TLS 1.2 or higher)
- Historical location data is retained for a maximum of 90 days and then permanently deleted
You may revoke location permissions at any time through your device settings. Please note that revoking location access on a driver’s device will disable live tracking functionality for that route.
6. Data Sharing and Disclosure
We do not sell, trade, or rent your personal information to any third party. We may share data only in the following limited circumstances:
6.1 Within your institution
School administrators can view route and location data for all vans associated with their institution. Parents can only view data relevant to their registered child’s route.
6.2 Service providers
We engage trusted third-party service providers to assist in operating our platform, including cloud hosting, push notification delivery, and analytics. These providers are contractually obligated to keep your data confidential and may not use it for any other purpose.
6.3 Legal requirements
We may disclose information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the safety of any person or to address fraud or security issues.
7. Data Security
- All data transmissions are encrypted using TLS (Transport Layer Security)
- User passwords are hashed and salted using bcrypt; we never store plain-text passwords
- Access to backend systems is restricted by role-based access controls
- Regular security audits and vulnerability assessments are conducted
- Servers are hosted in secure, access-controlled data centres
While we take every reasonable precaution, no method of transmission over the Internet is 100% secure. We encourage users to use strong, unique passwords and to report any suspicious activity immediately to support@smartvan.pk.
8. Data Retention
- Active account data: Retained for the duration of the active subscription
- Location and route history: Retained for 90 days, then permanently deleted
- Closed or inactive accounts: Data is deleted within 30 days of account closure
- Legal hold: Data may be retained longer if required by applicable law
9. Your Rights and Choices
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate or incomplete information
- Deletion: Request deletion of your personal data, subject to legal obligations
- Portability: Request your data in a structured, machine-readable format
- Objection: Object to certain types of data processing
- Withdrawal of consent: Withdraw consent for location tracking at any time via app settings

10. Third-Party Services
Smart Van may integrate with the following third-party services to enhance functionality:
- Google Maps Platform — for route display and navigation (subject to Google’s Privacy Policy)
- Firebase Cloud Messaging — for push notifications (subject to Google’s Privacy Policy)
- Payment gateways — for subscription billing (data handled directly by the payment provider)
We are not responsible for the privacy practices of third-party services. We encourage you to review their respective privacy policies.
11. Changes to This Policy
- Update the “Last Updated” date at the top of this document
- Send an in-app notification or email to registered users
- Post the revised policy at https://smartvan.pk/privacy-policy/
Your continued use of Smart Van after any changes constitutes your acceptance of the updated policy.
